As an independent travel agent, transitioning to a new host agency often requires updating your details with the various travel suppliers you work with.
Check the Supplier's Requirements: Each supplier has its own system for managing agent profiles. Before attempting to make changes, review the supplier's policies or reach out to their agent support team for specific instructions. This will save time and prevent unnecessary errors.
Update Your Profile Online: Many suppliers offer an online platform where agents can manage their profiles, including updating host agency details. If available: Try logging in using your existing username and password, navigate to your profile settings, which may be labeled as "Agent Profile," "My Account," or "Agency Details.”, edit the host agency information to reflect your new affiliation and save your changes and confirm any updates via email or within the portal.
Contact Supplier Support: Some suppliers prefer or require direct communication to update host agency details. In such cases: Call their agent support line and provide the necessary information. Be prepared to verify your identity, such as with your agency ID or other credentials. Alternatively, email their agent support team with a formal request. Include your full name, agent ID, current host agency, and the new host agency's details to expedite the process.
Host Agency-Assisted Updates: Certain suppliers may not allow agents to make these changes themselves. Instead, they require the host agency to initiate the update. If this applies: Notify Levarti+RSI Vacations, provide your supplier account information. Levarti+RSI Vacations will then work directly with the supplier to update your details on your behalf. Once the change is complete, you should receive a confirmation email or notification.
Special Considerations: Processing Time: Changes may not be immediate and can take a few days to reflect in the supplier’s system.Booking Transfers: If you have existing bookings, confirm with the supplier if those will transfer to the new host agency or remain under the old one. Commissions: Ensure your commissions are appropriately redirected to your new host agency to avoid delays in payouts.
We understand the importance of the training and certifications that agents have worked hard to complete, and we’re here to help ensure they retain the benefits of your efforts as agents consider transferring to Levarti. In most cases, supplier training certifications and statuses are tied directly to you as an individual agent rather than to your host agency. This means:
Training Portability: Your completed trainings and certifications with various suppliers typically remain valid when you switch host agencies, as they’re associated with your agent profile and not limited to your current host.
Verifying Status: Some suppliers may require you to update your host agency information within their systems, but once that’s done, your completed trainings and status should remain intact.
Levarti’s Support: When agents transition to Levarti, we’ll assist them with updating any necessary information with suppliers to reflect their new affiliation, ensuring a seamless experience.
Typically, when a travel agent transfers to a new host agency, the handling of outstanding commissions can vary depending on the policies of their previous host. If they decide to proceed, we’ll be here to support their transition and answer any questions they may have. Here are some key points to consider:
Current Host's Policy: Many host agencies have specific policies regarding commissions on bookings made prior to an agent’s departure. It’s best to have them review their agreement or speak directly with their current host to understand if they will release commissions for completed travel after they have left.
Commission Transferability: In most cases, commissions for bookings made with the previous host remain tied to that agency, as they were processed through their systems and supplier relationships.
Client Communication: If the current host will not release the commissions post-departure, some agents choose to remain with their host until clients have completed travel or until they have received payment for those bookings.
Transition Support from Levarti: At Levarti, we strive to make a transition as smooth as possible and can help the new agent establish new bookings under our platform for future clients. We can also work with them on building a client retention strategy to ensure that your relationships continue seamlessly.
